Non-Refundable Deposit A non-refundable deposit of 20% is due within 7 working days from the date of invoice confirmation.
Booking Confirmation Once the deposit has been received, a booking confirmation will be issued securing your reservation.
Balance Payment The remaining balance must be paid no later than 30 days prior to the scheduled arrival date.
Bank Charges Bank charges related to payments or transfers are the responsibility of the payee.
Additional Payments Any additional payments for extra services, upgrades, or activities must be settled in cash before check-out. Accepted currencies are EUR or USD.
Amendments to Bookings Requests for changes to bookings must be submitted at least 90 days prior to the start date of the retreat and are subject to availability. Additional fees may apply.
Cancellation Policy
Cancellation by the customer: If you wish to cancel your booking, please notify us as soon as possible. Refunds will be issued as follows:

Cancellation more than 30 days before the scheduled arrival date: any additional payments will be refunded, minus any bank or processing fees.
Cancelation 30 days or less before the scheduled arrival date: no refunds will be issued.
If you do not cancel, fail to show up, or leave the retreat early, no refund will be issued.
Cancellation by the company: If Samana cancels the retreat due to unforeseen circumstances or if the minimum number of participants is not met, you will receive a full refund of the amount paid, minus any bank or processing fees.
Force Majeure Samana will not be held liable for any loss, damage, or inconvenience resulting from force majeure events, including but not limited to natural disasters, pandemics, political unrest, government actions, terrorism, war, strikes, civil disturbances, transportation delays, technical failures, or weather-related disruptions. In such cases, we will provide options to reschedule or issue a partial refund, where applicable.
Right to Modify or Cancel Services Samana reserves the right to cancel, modify, or limit services, activities, or itineraries if deemed necessary, without prior notice or liability, particularly in the interest of participant safety or due to unforeseen circumstances.
Participant Conduct To ensure a safe, respectful, and enjoyable environment for all, participants are expected to follow retreat guidelines, show consideration for others, and behave responsibly. Samana reserves the right to remove any participant who engages in disruptive, unsafe, or inappropriate behavior. In such cases, no refund will be issued, and any additional costs incurred as a result will be the responsibility of the participant. Samana will not be held liable for any consequences arising from a participant's failure to follow the conduct guidelines.
Retreat Guidelines Include (but are not limited to):
Follow all guidelines, instructions, and safety briefings provided by Samana and its partners.
Respect local laws and regulations.
Act within your own physical and mental capabilities.
Avoid engaging in reckless or dangerous behavior.
Take reasonable care of personal items, respect shared spaces, and use any equipment provided by Samana or partners responsibly.
Refrain from participating in activities while under the influence of alcohol or drugs.
Feedback and Complaints If you experience any issues or are dissatisfied with any part of the retreat, please inform a member of the Samana team as soon as possible during your stay. We will do our best to resolve the situation promptly. Complaints made after the retreat has ended may be more difficult to address, and we cannot be held responsible if we were not given the opportunity to resolve the issue at the time. No compensation will be offered for issues not brought to our attention during the retreat.
Special Requests While we strive to accommodate individual needs and preferences (e.g. medical conditions, dietary requirements, or physical abilities) we cannot guarantee that all requests can be fulfilled. Please inform us of any special requirements at the time of booking. If Samana or its partners are unable to meet these requests, this will not be considered a breach of our obligations.
Even if such needs have been communicated in advance, Samana and its partners cannot be held liable for any injury or other health-related issue that may occur during the retreat. Participation is at your own risk, and it is the responsibility of each participant to assess whether the retreat activities and offerings are suitable for their individual health and physical condition. We recommend consulting with a healthcare professional before attending if you have any concerns.
No Guarantee of Conditions Samana cannot guarantee specific surf or weather conditions. You acknowledge that surf conditions are subject to natural variations, and may not match your expectations or skill level. Participation in all activities is at your own discretion and risk.
Exclusion of Liability for Third Parties Samana shall not be held liable for any delays, cancellations, injuries, or losses arising from the actions or omissions of third-party service providers, including but not limited to airlines, transport operators, accommodations, or activity providers.
Client Obligation to Review Booking Details It is the participant’s responsibility to review all booking and itinerary details upon receipt of confirmation. Any errors or discrepancies must be reported to Samana within 7 days after receiving the booking confirmation. Failure to do so will be seen as acceptance of the details provided.
Liability and Waiver By booking and participating in the retreat, you acknowledge that certain activities, including surfing and yoga, involve inherent risks of injury. You agree to release Samana from any liability for injuries, any medical emergencies, loss of personal property, or any other incidents that may occur during the retreat. You agree to undertake all activities at your own risk. You understand that surfing is a dangerous sport which may result in injury or death, to which you accept full liability and responsibility.
Insurance We strongly recommend that all travellers purchase comprehensive travel insurance, including coverage for surfing and equipment, to protect against unforeseen circumstances or emergencies such as trip cancellations, medical emergencies, or lost luggage. If medical assistance is provided to you - whether requested by you or not - we will assist in supplying receipts for all related expenses to support your insurance claim. Regardless of whether you have purchased travel insurance, you agree to reimburse Samana for any costs we covered on your behalf upon your return from the retreat.
Photo and Video Consent By attending the retreat, you consent to Samana taking photographs and videos of you during the event and using such media for promotional purposes, including but not limited to our website, social media channels, and marketing materials. If you do not consent to the use of your images, please notify us in writing through email prior to the retreat start date. Your decision will not affect your participation in the retreat.
